Spacious Construction Corporation was founded in 2004, previously known as Developments Ltd., and is a licensed Builder with HPO 2-5-10 year home warranty that provides comprehensive construction services in BC. SCC specializes in the construction of infrastructure, industrial and commercial, institutional and hospital projects as well as estate developments. We also provide cost consulting and project management services. Now we are looking for an Administrative Assistant to provide administrative and clerical support to ensure the smooth daily operation of the company's administrative functions.
Essential Duties and Responsibilities
• Answer phones and check emails, forward enquiries to appropriate personnel and conduct follow-ups with colleagues or customers.
• Follow established procedures for record-keeping and reporting data and messages, and assist in the preparation of correspondence, brochures, progress reports, and other company documents.
• Coordinate and maintain communication with internal colleagues and external subcontractors and vendors to ensure work efficiency.
• Create, organize and maintain company files, including client files, contractor agreements, and progress reports to ensure the information is accurate and up-to-date.
• Manage office calendar, schedule meetings, visits, deliveries, installations, inspections, etc.
• Prepare, develop and distribute meeting agendas and minutes.
• Arrange for and coordinate travels, site visits, and special events for company staff and customers.
• Support and assist colleagues in administrative activities such as familiarizing them with administrative policies and procedures, training them on the use of office equipment or tools, etc.
• Track and manage inventory of office supplies such as job site materials and safety equipment.
• Collect data, information or materials for management or professionals to support research or launch of specific projects.
• Perform other general office duties as assigned, such as filing, scanning, and data entry.
Skills & Qualifications:
• Completion of high school or equivalent, a diploma or certificate in office administration or a ralated field is preferred
• Customer service or clerical experience is an asset
• Excellent communication and interpersonal skills
• Proficient in MS office software and other office management applications
• Strong organization and time management skills

To align with our business development plan, we are seeking a diligent Bookkeeper who can establish effective bookkeeping systems and procedures. The ideal candidate will be responsible for the overall financial data accuracy and financial accounts management.
Essential Duties and Responsibilities
• Obtain and verify accounts payable and receivable, reconcile statement of accounts and investigate discrepancies;
• Maintain general ledgers and an accurate and complete trail of supporting documentation for all financial and accounting activities;
• Perform journal entries for monthly transactions such as invoices (bill payments), cheques, e-transfers, and petty cash;
• Prepare payrolls, ROEs, tax, benefits, and T4s and manage expenses reimbursement for employees;
• Manage and track office overhead expenses such as rentals, utility bills, supplies and equipments;
• Establish financial tracking spreadsheets in Excel, recording expenses and work closely with the general manager to track and maintain budget;
• Prepare government fillings including GST, PST, source deductions remittance and WorkSafte BC timely;
• Prepare monthly, quarterly, and yearly financial statements and reports for accounting and auditing.
Skills & Qualifications:
• Completion of secondary school combined with education experience in a related field such as accounting, bookkeeping, finance, and business administration;
• Work experience is an asset combined with a diploma or degree.
• Short-term courses in accounting or bookkeeping require a minimum 1 year of related work experience;
• Excellent communication and interpersonal skills
• Proficient in MS office software and other office management applications
